In many cases, organisations provide candidates with a list of documents required to join the organisation. Then, the concerned HR professional initiates’ necessary action items to be submitted while offering an offer letter.
However, preparing thoroughly in advance is always a beneficial move. You never know how much time you take to arrange formalities for your new job at the edge of the time.
We have created a checklist for original documentation required by an employer (mostly).
Adhere to the list below to make copies and be ready for the upcoming opportunity.
1. Resignation copy from the last employer
A resignation letter is a professional document for informing employers regarding the termination of a job. It clearly states the reasons for the decision. The employer needs a resignation letter to document your end of the contract with your previous employer and start with your new contract.
2. Experience Certificate
An experience certificate is a written document that an employer provides to the employee to complete his/her employment in the organisation. Unfortunately, many organisations do not follow the practice of offering experience certificates to their employees. In this case, you can politely ask for one and state the reason for the requirement.
3. Letter of latest appraisal/salary revision with the last employer
An appraisal letter assesses an individual's performance during a set period. The letter consists of revised salary and position details which is essential for your new employer. The components present in the appraisal letter also help assess your performance and hike details.
4. Salary Slips or Bank Statements
Salary slips or bank statements are usually needed to double-check on the salary issues by your employer. It is proof and a statement of your earnings and deductions. Besides, it forms the basis for income tax calculation.
5. Highest Qualification Degree
Educational background verification is an essential part of many background checks when applying for a job. It also helps the employer to know you better as a potential hire. Besides, recruiters believe that candidates having the highest qualification degree have more skills than those without a degree.
6. Other Educational Degrees( 10th/12th/Graduation)
1Oth and 12th percentage serve as an excellent measure to shortlist candidates in some organisations. Thus, irrespective of the school and location, the marks effectively is doing the criterion to shortlist candidates in India.
7. Copy of PAN card
PAN cards help companies verify your personal details. It is a proper identity check which organisations carry out to avoid impersonation of candidates by dummy candidates. Besides, it acts as a reliable document to identify your date of birth, father's name and signature.
8. Copy of Aadhar Card
Aadhar is a legally valid identity proof and is a single document that works as age proof, identity proof and address proof. The details in the Aadhar card are safe to share with organizations.
9. Resignation Acceptance Mail
A resignation Acceptance Letter is a document to acknowledge that the organisation has accepted the employee's request to resign. It can be in the form of a mail or hard copy document.
10. Cancelled Cheque
A cancelled cheque refers to the image of a cancelled cheque. For creating a cancelled cheque, draw two parallel lines across the cheque and write the word 'cancelled'. No transactions can be done with a cancelled cheque, and is often asked for information on bank details to transfer salary.
