Position Overview:
The Front Office Executive plays a crucial role in the hospitality industry, acting as the face of the hotel and ensuring a seamless guest experience from check-in to check-out. This role involves managing reservations, handling guest inquiries, and coordinating with various departments to provide exceptional service.
Key Responsibilities:
Guest Services:
Greet guests warmly upon arrival and departure.
Assist guests with check-in and check-out procedures.
Provide information about hotel services, amenities, and local attractions.
Address guest complaints and concerns promptly and professionally.
Reservations and Room Assignments:
Manage reservations, cancellations, and modifications.
Coordinate room assignments and ensure rooms are prepared for guest arrivals.
Maintain an updated database of room availability and bookings.
Front Desk Operations:
Answer phone calls and handle guest inquiries.
Maintain a tidy and organized front desk area.
Ensure compliance with hotel policies and procedures.
Communication and Coordination:
Liaise with housekeeping, maintenance, and other departments to address guest needs and room issues.
Communicate special requests and requirements to relevant departments.
Coordinate with the concierge to assist guests with transportation, dining, and activity reservations.
Administrative Tasks:
Maintain accurate records of guest information and transactions.
Prepare daily reports and assist with administrative duties as needed.
Handle mail and messages for guests.
Security and Safety:
Monitor guest access and maintain security protocols.
Report any suspicious activities or security concerns to management.
Ensure compliance with health and safety regulations.
Skills and Qualifications:
Education: High school diploma or equivalent; hospitality management or related degree preferred.
Experience: Prior experience in a front office or customer service role, preferably in a hotel setting.
Skills:
Excellent communication and interpersonal skills.
Strong organizational and multitasking abilities.
Proficiency in using hotel management software and basic computer applications.
Ability to handle stressful situations with composure and professionalism.
